    Job Title: Production Manager

    Responsible to: Director, Client Services

    Company Objective: To continue to set the pace and quality standards for the industry and to maintain its position as a leading design consultancy in Scotland.

    Job Holder's To provide sensible, practical and well-organised support for
    Objective: the day-to-day handling and management of client programmes and projects.

    To be a valuable member of the design team.

    To progress, learn and improve all aspects of print and production management.

    Experience: Will have had at 5 years basic experience in a design/advertising/print agency.

    Responsibilities/ Print/Production Ability
    Duties:
    To continually develop production skills and contacts.

    To keep and maintain an accurate record of all relevant artwork references after production, including hired artwork and photography, photographic prints and illustrations.

    To maintain an up-to-date and accurate list of preferred suppliers for any third-party production requirement.

    To obtain as required three competitive estimates for any third-party supplied service and to negotiate costs accordingly in order to ensure a rechargeable contribution at the level of at least the agreed mark-up on all third-party supplied products and services.

    To ensure that Shandwick Design’s suppliers are consistently reviewed and negotiated with in order to ensure a quality service to our clients and the best possible rechargeable income to the company.

    To administer – by means of purchase order and appropriate specifications and instructions – the purchasing of all third-party supplied services.

    To develop good understanding and experience in the following areas:

    - print and production including the negotiation and purchasing of all colour reproduction film, proofs, printed material and other third-party supplied material for both client projects and for the company;

    - print and production techniques and quality control including the checking and approval of proofs, cromalins, exhibition graphics and printed material.

    - computer technology – including software packages and hardware - associated with production of artwork and print;

    - quality control of all outputs from Shandwick Design including artwork proofs, print production and correspondence.

    Management Skills.

    To develop ability and understanding in areas such as control of suppliers, price negotiation, time management, forward planning etc.

    Client Handling.

    To provide every assistance on accounts, although will not be required to regularly attend client meetings alone.

    To build up trust and confidence in his/her abilities with superiors and clients.

    To handle client enquiries if the relevant account handler is not available, or to liaise with clients on ongoing projects or assignments if the relevant account handler is not available, although will not be expected to do so regularly without supervision.

    Financial.

    To ensure that all materials and services are purchased and recharged at competitive market rates maximising the company’s rechargeable income without compromising quality.

    To develop a good understanding of financial targets and systems. While the job holder does not have sole responsibility for ensuring that the company’s targets are met, the management of production includes a commitment to monitoring rechargeable contributions. The job holder should therefore take responsibility for monitoring results on a month by month basis and seek discussion should the situation be either unclear or cause concern.

    To ensure that all relevant accounting information including supplier invoices are administered appropriately, including assignation to relevant jobs, filing as necessary or passing to the financial department.

    Administration.

    To fully appraise himself/herself on all points of the company's financial and administration policies and to ensure that these policies and procedures are followed at all times.

    To understand and provide appropriate levels of administrative backup on all aspects of client and project servicing.

    To develop a good understanding of the importance of an individual's 'good housekeeping' and its subsequent impact on the company's profitability and reputation.

    Quality Management.

    To maintain all appropriate Quality Manuals and Process Documents, to properly administer all procedures therein and to keep the Design team abreast of any changes made to the procedures, in order to maintain our ISO quality accreditation.

    Aspirations: To develop to such a stage that the individual can actively participate in all aspects of production and administration management.

    STANDARDS OF PERFORMANCE

    1. Print and Production

    Performance is satisfactory when:

    - all print and production suppliers are selected on the basis of appropriateness for the project and on approval of their costs.

    - the rechargeable contribution to our budgets from third-party supplied products and services is maintained at the level of at least the agreed mark-up without compromising overall quality of service or product provided.

    - all projects are accompanied by accurate production specifications which are maintained and updated as new instructions necessitate.

    - all artwork references including photography, illustrations, logos and print samples – whether conventionally or computer created - are filed systematically and efficiently.

    - Shandwick International’s print work and stationery complies with the Corporate Guideline manual and third-party suppliers are briefed and managed to ensure that their product complies with guidelines.

    - client proofs and all output from the design studio is proof-checked and alterations instructed as appropriate.

    - production and quality control is managed from start to finish with the minimum supervision.

    - performance of all suppliers is monitored and the Preferred Suppliers List is maintained and updated as appropriate.

    - where supplier performance has not met quality standards, appropriate action is taken. This may include a meeting with the supplier, a complaint being documented in writing or the deletion of the supplier from the Preferred Supplier List.

    - all written work is consistently well-produced, well laid-out, has accurate spelling, is delivered on time.

    2. Management Skills

    Performance is satisfactory when:

    - all projects are organised and completed in adequate time.

    - supplier briefings are comprehensively and accurately delivered and backed up in writing.

    - relationships with colleagues are running smoothly.

    - a schedule is produced for each major project to be undertaken and is delivered on time.

    3. Client Handling

    Performance is satisfactory when:

    - all relevant papers and documents are produced and collated for client meetings.

    - all clients are happy to accept the job holder at meetings and contact them by phone in reference to specific projects.

    - each client has a comprehensive estimate submitted to them and updated as and when necessary prior to and during the progress of work on a project.

    4. Financial.

    Performance is satisfactory when:

    - all project record sheets (job bags) are properly completed and maintained with details of studio time and materials purchased, and with all necessary details being finally checked off before passing to the finance department for sales to be recorded at the end of every month.

    - sales invoices are checked on receipt and/or passed to the appropriate team member for approval before passing to the finance department in good time to allow financial accounting to be conducted.

    - financial information on the Work In Progress record is maintained and updated on an ongoing basis to reflect alterations to project specifications and estimates issued.

    - all orders placed have an order form fully completed at the time with the finance department's copy delivered within 24 hs.

    - the individual is fully aware of the necessity of making a significant contribution to the Design budgets – both on a personal and on a team level.

    5. Administration

    Performance is satisfactory when:

    - the company's database is updated and maintained comprehensively and accurately.

    - all supplies (eg stationery, fax paper, computer and printer supplies, design supplies, brochure pages and other sundries) are monitored and maintained, and new purchases made as and when appropriate to ensure adequate supplies are available as required.

    - appropriate administrative support (eg typing of correspondence or other communications, liaison with couriers) is provided to other team members as requested to ensure smooth progress of projects.

    - appropriate administrative support (eg binding of documents, proofing of presentation documents or Powerpoint presentations) is provided to other team members as requested to ensure smooth progress of new business activities.

    - the weekly Work in Progress meeting is attended unless for reasons of holiday or sickness, and actions are taken timeously according to issues raised at this meeting.

    - the company’s Work In Progress record including is maintained and updated by Friday evening to facilitate the team meeting at 9.30am on the following Monday.

    - files are coded accurately to allow easy retrieval by any member of the company.

    - staff meetings are scheduled on a monthly basis with appropriate paperwork (agenda/minutes from previous meetings) issued in good time before and after the meetings.

    - items of correspondence are prepared and made ready in good time for each evening’s post pickup and appropriate alternative arrangements are made if mail activity is suspended to ensure all company and client activities is not hindered by delays in communication.

    - administrative support is provided for all client meetings taking place within our offices, including preparation of meeting room, provision of tea/coffee or refreshments, and (if required) taking of minutes.

    - at least 10 monthly staff meetings are attended unless for reasons of holiday or sickness.

    - all incoming correspondence or telephone messages are acknowledged or dealt with within 24 hours of receipt.

    - appropriate forms are used properly and promptly (eg work request, holiday request etc).

    6. Quality Management

    Performance is satisfactory when:

    - Quality Management team meetings are attended as required.

    - all relevant Quality Manuals and Procedural Documents are maintained and updated as necessary.

    - the processes and procedures with respect to Shandwick Design are in accordance with the agreed Quality procedures and the Design team are fully appraised of changes or additions to Quality procedures.

    7. Personal Development

    Performance is satisfactory when:

    - targets are agreed every six months and achievements regularly monitored with help being provided where necessary.

    - job description reviewed every six months to reflect development of skills.

    - relevant training identified and attended every year.

    Hi Widz

    Sounds like a rewarding job, but I think you are actually looking for some one who is currently in a managment role within a production dept. Although I have had a lot off experience in traffic/production, client services and apple mac, I have never had any true managment experience. I really miss working in traffic/production it was the best job ever! But if you do have anything coming up in the near future then let me know.
