Did you consider issuing an RFI (Request for Information) to narrow down the vendors that would be submitting the RFP?

RFI is good to get a good understanding of vendor (their services and process).

In your RFP process, allow for the vendors to submit questions for clarification and then share the questions and your response to ALL vendors. My preference is not to share the names of the other vendors that are responding to the RFP.

If you're scoring the responses, do it in a Excel spreadsheet.

For pricing, be clear on what you're expecting as some vendors will try to phase the solution and bill more in change requests later.

    Good luck!
