I use a Wiki for a lot of stuff. Basically, I keep MAMP or XAMPP (you can use the default Apache install on OS X with a few tweeks if you're smart) running in the background. I've installed DokuWiki (uses .txt files instead of a database for backups) and use it for everything. I keep Wiki pages for notes on each project I work on: phone calls, e-mails, proofs, deadlines, contact info, everything. It's completely searchable and I can glance back on previous project for a client at any time. It's also freeform, so I choose what info to include. This usually means I make notes if the client procrastinates, is an asshole, lies, makes terrible choices or anything that would help when budgeting for their next project. I also have Wiki pages for passwords, vendors, useful tools, coding notes, code snippets, etc. I highly suggest this.
