Job estimate and contract.

I am about to do flash/css work as a freelance production artist for a small agency and need to give an estimate. My question is how to do you prepare and send this? A Excel sheet - InD form layout then expor PDF - Word doc.
OR just tell them
60Hrs x $rate = PayMe ;-D
I think its best to give a breakdown. So there know what there paying for. I also wondering if I should also list admin/email/lil annoying BS also...... your thoughts.

My guess is that the agency does the planning for this project, so wouldn't they have already estimated your estimate?

cost in changes and cover yourself if they threaten not to pay.
make sure your scope of work is clear or they might end up taking you to the cleaners.

Good issue (covering yourself), How would you cover yourself?: by wording it in a bid? I worked for a small agency over the summer that still owes me another two weeks' pay from before Sept. 18.

I usually split the docs into two:
1. Spec/scope document which includes full scope of what is to be delivered along with timescale & cost quote.
2. Work agreement/contract which confirms 1. and then my working terms, hours, payment schedule etc.
Just send them as word docs. Been using pretty much the same docs for 3 years full time freelance and never had any issues.

We aren't really doing a contract - I was just going to write this up and so we both have something on paper. I'm also don't have everything so things will be loose-ly est. still need to find out the server i'm working on for a custom login name/Pword creation form.
still not sure about the contact and search feature. maybe its a contact form or just link-mailto:yadayada@
i've also never done search function much less in flash. thats another thread.

so again what format do you recommend Ind-Excel table chart-Word doc.
also its sort of a bid, should i ask him to sign something? He just wants to cut me a check for the work and next year - Jan. we do the whole tax form w2 or 1099. feel funny not having a paper document btwn us. should I have him sign the job est.?

In my estimates, I describe the extent of the project in detail, and what's included and what isn't, the price at various points to completion, and a price for revisions that are outside the original scope of the project.

I would put your estimate in a word document as you have to explain each part. If you don't know weather you will include something or not include it and write out the steps that need to be taken. It can be taken out of the document later.
Make sure that you have a section in your estimate that says what the rate is for out of scope work. Also If your invoice is not payed in 30 days what the consequences are.
After you detail everything you can put in your chart that gives a quick breakdown of what each element is and how much it costs.
ie.
Google tacking codes...
Go live file transfer & testing...If there is a launch date put in the things that you will need from the client by what dates so that you can complete the project on time.
Estimates take time to put together but a good one will save you in the end.

I ALWAYS use PDFs. All of your document formatting will be retained and allows for digital signatures. Here's a good article on contracts:

PDF. You can even lock them with a password which I sometimes find helpful.

With flash/actionscript, there is sometimes a huge project risk of slightly different intrepretations of how something should interact, and people may think of the "right way" after they see your version.. so try to make sure there is a "change order" fee associated with not just changes of text, but major changes of conceptual direction, and that in the case of coding, this is listed as something like "hourly according to customary charges and hours actually consumed in development changes after date x"
